Accounts Administrative Assistant
We are seeking a detail-oriented Accounts Administrative Assistant to join our growing team. A valid driver’s license is required for occasional local errands.
KEY RESPONSIBILITIES
Perform accurate data entry to support Accounts Payable and Accounts Receivable functions
Assist with preparation, emailing, and tracking of customer invoices
Maintain accurate AR records and supporting documentation
Enter vendor invoices, employee credit card receipts, and gas account information into the accounting system
Audit and reconcile vendor statements
Prepare checks for vendor payments and assist with payment processing and AP filing
Scan, file, and organize accounting and general office documents
Assist with Certificates of Insurance (COI) requests and tracking
Perform mail runs to the Post Office and UPS
Support general office and administrative duties as assigned
Support in answering and routing general phone calls professionally
QUALIFICATIONS
Basic understanding of Accounts Payable and Accounts Receivable processes
Strong attention to detail and excellent organizational skills
Ability to handle confidential financial information with discretion
Proficiency in Microsoft Office programs (required)
Experience with Sage 100 Contractor is a plus
Ability to learn new software and systems efficiently
Reliable, punctual, and capable of managing multiple priorities
